A quotation’s validity period does not, by itself, reserve the vehicle. A reference price, a dated availability check, an agreed quotation and a seller-confirmed hold are different records. Keep them separate so that neither side relies on a promise that was never made.
This is a sourcing-workflow guide, not a statement that a particular seller offers a reservation or that a payment automatically creates one. Any hold or purchase arrangement must be confirmed for the actual vehicle under the applicable written terms.
Start with the kind of price being shown
A website listing can be a useful starting point, but it may show a reference vehicle price rather than a complete delivered cost. Record the currency, price basis, date and the precise unit to which it refers.
Do not call every price a formal quotation. If export/logistics, freight, insurance or destination charges have not been established, list them as unresolved instead of using a single all-in figure. If the intended destination changes, the earlier delivery calculation may no longer apply.
Use four separate status fields
| Record | What it establishes | What it does not establish |
|---|---|---|
| Reference listing | A starting specification and price to check | Current availability or a binding offer |
| Dated source check | The status reported at that check | A hold lasting until the buyer decides |
| Written quotation | The specific quoted scope and conditions | A reservation unless expressly included |
| Confirmed hold | The arrangement actually confirmed for that unit | Any broader guarantee beyond its written terms |
The distinction matters even if all four records arrive on the same day. A sales message saying “the listing is still active” is not the same as written confirmation that the seller will not sell the vehicle to someone else.
Record the decision deadline and the next check
Ask what must happen before the next step: buyer approval, document review, a payment under agreed terms or a renewed stock check. Do not invent a deadline because it would make the offer look urgent.
If a reservation is available, the responsible parties should confirm the exact unit, the period, any conditions or fees and what happens if a condition cannot be met. Avoid interpreting an ordinary deposit or a discussion of inspection as proof of a separate hold arrangement.
UCarsea provides available photographs and basic information before an agreed deposit. Inspection and the report are arranged after the agreed deposit under the written order terms. Inspection scope, costs and refund arrangements must be discussed before payment; they should not be inferred from an advertising caption.
Handle a changed price or unavailable car openly
Pause the affected item and explain what changed. Do not leave the old number in a comparison table or replace the vehicle behind the same reference without telling the buyer.
If an alternative is proposed, create a new comparison covering its own identity, trim, evidence, condition disclosures, price and availability. The buyer’s approval of the original car is not automatic approval of the alternative.
A simple quotation-status note
Vehicle reference and exact trim:
Reference/quotation date:
Currency and vehicle-price basis:
Costs included / excluded / still to confirm:
Last availability check and source:
Reservation confirmed: yes / no / not obtained
If yes: responsible party, duration and written conditions:
Next buyer decision and next stock check:
An unknown field should remain unknown. This note is useful precisely because it prevents “price valid” from being silently upgraded into “car reserved.”
