A five-car buying request is a sourcing brief, not a confirmed five-car shipment. First agree which vehicles qualify. Then check the evidence and cost basis for each actual unit. Container capacity, carrier acceptance and the final delivery scope are separate questions.
This guide explains a practical way to build that brief. The blank rows below are a worksheet, not available stock, an offer or a shipping calculation.
Separate hard filters from preferences
A buyer might want Toyota, Honda or Hyundai vehicles and specify automatic transmission only. In that case, transmission is a hard filter. A cheaper manual car does not meet the request, even if the model and year look attractive.
Ask which other requirements are non-negotiable: steering configuration, body type, age range, fuel type, condition exclusions, destination or budget basis. Keep preferences in a different column. A preferred colour should not silently outweigh a required transmission or local-use condition.
Use the exact China-market trim description. Labels such as “automatic” are not enough to establish the gearbox type, and a model name may cover different engines and transmissions. Have the supplier confirm the actual unit’s specification before the item reaches the final comparison.
Use five rows, not five promises
Give every candidate a stable reference and a dated evidence check. Leave a row unfilled rather than inserting a vehicle that fails a hard filter.
| Slot | Exact model and trim | Transmission evidence | Vehicle-price basis | Evidence or decision still needed |
|---|---|---|---|---|
| 1 | To source | To confirm | To confirm | To confirm |
| 2 | To source | To confirm | To confirm | To confirm |
| 3 | To source | To confirm | To confirm | To confirm |
| 4 | To source | To confirm | To confirm | To confirm |
| 5 | To source | To confirm | To confirm | To confirm |
Do not describe this table as five approved purchases until the buyer has reviewed the actual units and the applicable order terms have been agreed. Five website links are not five reserved vehicles.
Keep alternatives visible
For each slot, record one acceptable alternative if the buyer has allowed one. An alternative should be compared against the same hard filters and budget basis. It should not be substituted automatically because the original unit is no longer listed.
Show the difference that matters: trim, year, transmission, mileage evidence, condition disclosures or price scope. Ask the buyer to choose or reject the alternative before treating it as part of the agreed shortlist. Do not reuse the first vehicle’s photographs or inspection evidence for the replacement.
Add evidence before adding certainty
Supplier-listed mileage should remain labelled as such until the evidence is reviewed. Available photographs and basic information are not an independent condition report. UCarsea’s inspection arrangements and report are handled after the agreed deposit under the written order terms; the scope, costs and timing need to be agreed before payment.
Reconfirm the listing, price and documents near the next decision point. A saved shortlist does not reserve stock.
Quote the packing plan separately
The number of cars that can be loaded depends on the actual vehicles, equipment and an approved loading plan. Do not turn “we want five cars” into “five cars fit one container.” Ask the appropriate logistics provider to confirm the vehicle dimensions, transport method, carrier acceptance and loading arrangements.
Separate the vehicle budget from China-side export and logistics, freight, insurance and destination charges. Destination import eligibility and registration requirements need unit-specific checks. This worksheet supplies no duty rate or guarantee of admission.
A useful first message
We need five used vehicles for [country and final city].
Hard filters: [transmission, steering, age, fuel and condition exclusions].
Preferred brands/models: [list]; acceptable alternatives: [list or none].
Budget: [currency and amount], on a [vehicle-only or specified delivery] basis.
Please show each unit’s exact trim, evidence gaps and dated availability check.
Please quote transport/loading separately after the actual units are selected.
Send this brief through UCarsea’s sourcing request page. We can then discuss the requirements and unresolved checks without turning a preliminary five-car request into an unsupported stock, packing or delivery promise.
